MELTH / COMPANY INFORMATION
Privacy policy
How MELTH handles personal data across melth.ai, MELTH AI, MELTH Channels and MELTH Commerce.
Last updated 21 October 2026
1. Who is responsible?
MELTH is responsible for personal data used for this website, business relationships, applications and direct support. MELTH is registered at Bankraspad 12, 1184 TW Amstelveen, the Netherlands, Chamber of Commerce 67261892 and VAT NL002054578B78. Contact: melvin@melth.nl.
For data a business customer places in MELTH AI or MELTH Channels, that customer will often be the controller and MELTH its processor. Those responsibilities are set out in the customer agreement and, where required, a data processing agreement. A Commerce seller is responsible for buyer data it needs to fulfil and support an order.
2. Data we collect and why
| Context | Data | Purpose and legal basis |
|---|---|---|
| Website and security | IP address, request details, device and security events | Operate and secure the site, prevent abuse and diagnose failures. Legitimate interests. |
| Applications and contact | Name, work email, company, message and application details | Answer enquiries, assess B2B access and take steps before a contract. Consent or pre-contractual steps. |
| Customers and users | Account, role, authentication, support and audit data | Provide, secure and support contracted services. Contract and legitimate interests. |
| Channels and integrations | Authorised marketplace, catalogue, order and operational data | Provide the configured integration. Contract and customer instructions. |
| Commerce | Contact, delivery, order, payment status and seller relationship | Prepare and fulfil orders, support buyers, prevent fraud and meet legal duties. Contract and legal obligation. |
| Finance and compliance | Invoices, payments, company checks and required records | Accounting, tax, payment security and legal compliance. Contract and legal obligation. |
3. AI processing
When an authorised user asks MELTH AI to process content, prompts, selected source material and output may be sent to approved model or infrastructure providers. The workspace configuration and customer agreement determine the available providers and data location. Users should not submit material they are not authorised to process. MELTH does not use confidential customer content to train a shared model unless expressly agreed in writing.
4. Recipients and processors
We share data only where needed with hosting and security providers, email delivery services, approved AI or integration providers, payment providers, professional advisers and authorities where legally required. Connected marketplaces and sellers receive only the information needed for the authorised integration or order. We do not sell personal data.
5. International transfers
We prefer European processing where it is available and suitable. If a provider processes data outside the European Economic Area, we use an appropriate transfer mechanism and safeguards, such as an adequacy decision or Standard Contractual Clauses, and assess additional measures where required.
6. Retention
- Unsuccessful access applications and ordinary contact messages: normally up to 12 months after the last meaningful contact.
- Contract, billing and tax records: the period required by Dutch law, generally seven years for financial administration.
- Workspace and integration data: for the agreement term and the documented export or deletion period.
- Security logs: only as long as reasonably needed for security, abuse prevention and incident investigation.
- Commerce order records: as required for fulfilment, guarantees, disputes, accounting and legal duties.
7. Security
We use access controls, tenant separation, encrypted transport, protected secrets, logging controls and review procedures appropriate to the service. No system can be guaranteed completely secure. Customers must protect accounts and report suspected misuse promptly.
8. Your rights
Depending on the context, you can ask for access, correction, deletion, restriction, portability or objection, and withdraw consent without affecting earlier lawful processing. Send a request to melvin@melth.nl or use the contact form. We may need to verify your identity. You can complain to the Dutch Data Protection Authority, Autoriteit Persoonsgegevens.
9. Children and changes
MELTH services are not directed to children. We may update this policy when services or legal requirements change. Material changes are communicated through the website or the agreed customer channel.
